Information to guide the President-Elect in setting up the Officer's Installation Dinner

OFFICER INSTALLATION DINNER

Held 1st Wednesday in May.

Have meeting place picked out and booked with flyers printed up by February meeting or March meeting at the very latest. Reserve a place where at least 120 people can be seated. The place and menu is your choice. It is customary to have open bar one (1) hour before the dinner starts, which is at 8:00 P.M.

  As soon as you have the meeting place picked out have announcement put in monthly bulletin and announce at board meeting and general meeting.

  Order flowers for your incoming board and their wives. Also order or be ready to make table decorations. You can buy fresh flower arrangements at a reasonable price. The establishment you reserve can tell you how many people sit at each table and how many tables they will have set up. Remember to have enough room at the head table for the incoming and outgoing board and their wives.

  In March order a plaque for the outgoing president. This can be ordered with the plaques the outgoing president will order for his board and committee members.

  You are responsible for keeping track of who paid and who didn’t pay. A Microsoft excel program works great. Most people sign up at the last minute and pay at the door. Two people have to be at the door to check people in and collect the money.

  If you are going to give away door prizes or have a 50-50 raffle make sure the raffle tickets are there to sell or give away.
